Unplanned Absence Module of TeamSeer available on general release
November 10th 2009
The main type of unplanned absence is, of course, sickness, but it can include absence reasons such as emergency leave or compassionate leave.
What we’ve heard from our customers is that managing unplanned absence is very difficult. There may be procedures in place, but often line managers and staff don’t follow them, treating it as ‘low priority’, even to the extent of ignoring it altogether.
In one case we analysed for one of our clients, we found that only one in every eight episodes of absence was actually being recorded.
Tracking of absence can be inconsistent from one department to another, meaning that in some cases good managers that track absence properly may look worse because their department has higher absence! Within a department, frustration can build up if a colleague is repeatedly absent but nothing is done about it, creating a culture of ‘if he can do it, why shouldn’t I?’
From an HR perspective, chasing people can be very time-consuming, and create tension between HR and staff. In a 100 person the cost of unplanned absence is estimated at £65,000 per annum – and by managing the process effectively this can be cut by up to 25%.
TeamSeer has designed its unplanned absence module to
- handle the entire process from start to finish
- make the initial recording of absence incredibly easy, so that it gets logged in the first place
- use follow up emails to automate the process of completing forms
- reduce the admin time of staff, line managers, and HR
- generate reminders periodically to make sure forms get completed
- escalate issues to HR only when necessary
- alert payroll to make SSP and no-pay decisions
- provide instant, accurate management reporting, such as overdue forms
- integrate seamlessly with TeamSeer calendars
